What we collect, and what we deliberately don't.

Therapy asks a great deal of trust before anyone has met you. This page explains, in plain terms, what happens to the information you give this website — and the several things we have chosen not to do with it.

Who this covers

This policy covers Healing Space Therapy (“we”, “us”) and the website at www.healingspacetherapy.ca. It describes how we handle information collected through this site.

Information collected inside a therapeutic relationship — session notes, assessments, your clinical record — is governed by Ontario's Personal Health Information Protection Act (PHIPA) and by the professional obligations of your individual therapist, who will give you their own consent and confidentiality documentation when you begin. This page does not replace that. Where the two overlap, the clinical documentation governs.

Information you choose to send us

There are three forms on this site, and each one sends an email. That is all any of them does.

  • Consultation request. Your name, email, phone number, the day and time you would like to be called, and — only if you choose to write one — a few sentences about what brings you to therapy.
  • Contact form. Your name, email, and your message.
  • Careers application. Your name, contact details, the role, your answers, and your résumé.

We do not operate a database. Nothing you type into this website is written to a server, a customer record, or an analytics profile. Each submission is delivered as an email to our practice inbox through our email provider, and it lives from then on in that inbox — nowhere else.

If you tell us something personal

The consultation form invites you to describe what you are carrying. That field is optional, and the form works exactly the same if you skip it. If you do write something, treat it as an introduction rather than a disclosure: give us enough to route you well, and save the rest for a conversation with a therapist.

Anything you write there is treated as personal health information and handled accordingly. But please know that email is not a secure channel — it is not encrypted end to end, and we cannot control how it travels or where copies rest along the way. For anything sensitive, wait for the call. If you are in crisis, do not use this website: call or text 988 (Suicide Crisis Helpline) or 9-1-1.

Information collected automatically

Like any website, this one is served by a host that keeps short-lived technical logs — IP address, browser type, the page requested, the time. These exist to keep the site running and secure.

We also use Google Analytics and Google Ads to understand how people find the practice and whether our advertising reaches anyone. This is the part the cookie banner asks you about.

Cookies, and what happens if you decline

Measurement on this site starts in a denied state. Until you accept, no analytics or advertising cookies are written to your device at all. Your visit is still counted, but as an anonymous, cookieless signal that carries no identifier and cannot be linked to you or to a later visit.

Declining breaks nothing. Every page, form, link and booking path works identically either way. The only thing stored when you decline is your decision itself, kept in your browser's local storage so we stop asking.

If you arrive from a Google ad, the ad click carries an identifier that lets Google tell us the ad worked. It is passed through to our booking system for the same reason. It identifies the click, not you.

What we don't do

Some of these are worth stating plainly, because a mental health website is exactly the sort of place people worry about them.

  • We do not build advertising audiences from what you read here. Reading our page on trauma, depression or anxiety does not add you to any remarketing list, and we do not retarget visitors to this site.
  • We do not send your email address, phone number, or any hashed version of them to advertising platforms.
  • We do not sell, rent, or trade personal information. Ever.
  • We do not use your information to train machine-learning models, and we do not make automated decisions about your care.
  • We do not run third-party advertising or trackers on this site.

Who else touches this information

We rely on a small number of service providers, each doing one job. We do not share your information with anyone else except where the law requires it — for example a court order, or a therapist's legal duty to report a risk of serious harm, which your therapist will explain to you directly.

  • Our website host — serves the site and keeps technical logs.
  • Our email provider — delivers form submissions to our inbox.
  • Google — analytics and advertising measurement, subject to your cookie choice.
  • Jane App — our booking and practice-management system.

Some of these providers operate outside Canada, which means information may be stored or processed in another country and could be accessible to that country's legal authorities.

Booking an appointment

Our “Book now” links take you to Jane App, a separate service on its own website. Anything you enter there — including payment details and health history — is collected by Jane under its own privacy policy and its agreement with us, not under this page. We mention this because the transition is easy to miss.

How long we keep it

Enquiries that do not become client relationships are kept only as long as needed to respond, and are periodically cleared from our inbox. Applications are retained through the hiring process and for a reasonable period afterward. Once you become a client, your clinical record is governed by PHIPA and the retention requirements of your therapist's regulatory college — currently ten years past your last session, or ten years past your eighteenth birthday, whichever is later.

Your rights

Under PHIPA and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you may ask us what information we hold about you, ask for a copy, ask us to correct it, ask us to delete it where we are not required to keep it, and withdraw a consent you previously gave. There is no charge for a reasonable request and no consequence for making one.

If you are not satisfied with our answer, you can complain to the Information and Privacy Commissioner of Ontario or to the Office of the Privacy Commissioner of Canada. You do not need to go through us first.

Young people

This website is not directed at children, and we do not knowingly collect information through it from anyone under 16. Where we work with young people clinically, consent is handled directly with the client and, where appropriate, their caregiver — not through this site.

Changes to this policy

If we change how we handle information, we will update this page and move the date at the top. Material changes will be flagged on the site rather than made quietly.
